Covers when stock moves and trucks roll

Stock out, truck on the road, customer signs — every step lands in the system

A cloud warehouse and fleet management system that links inbound, outbound, dispatch, delivery and sign-off into one line. The warehouse knows its live stock and flags low levels automatically; dispatchers assign jobs from the back office and drivers see the day's route on their phone; on arrival the recipient signs on-screen and the record, with a timestamp, uploads instantly. Paperless, traceable, and roughly 30% less time spent on stock counts.

In → out → signed for

This service helps if any of these is your week

  • The warehouse runs on paper and memory — nobody's sure where a SKU is or how much is left
  • Dispatch happens over WhatsApp and phone calls; drivers aren't clear on the day's route or order
  • Delivery sign-off is on paper, keyed in later, and slips get lost or disputed
  • Truck servicing and licence renewals are tracked in someone's head, and one has slipped before

If none of them lands, we will say so and point you somewhere more useful.

What you get

  • Live stock system: inbound/outbound records, stock levels, automatic low-stock alerts
  • Barcode / QR Code scanning for inbound and outbound
  • Back-office electronic dispatch plus a mobile browser view for drivers (no app to install)
  • e-POD: on-screen signature, timestamp, instant upload to the back office
  • Basic fleet/asset management: servicing intervals and licence-expiry reminders
  • Screen-recorded training + written docs + first-month on-site tuning

Typical scope: a single warehouse plus one fleet, live in 3 to 5 weeks. Number of SKUs, number of drivers, whether you need multi-warehouse or live GPS, and any accounting/ERP integration are the main variables behind the quote.

Scope

What it actually does

Live inventory

Inbound, outbound and stock levels update in real time, so the warehouse always knows what's left and where. When a line drops to the level you set, the system flags a re-order — you learn about a shortage before a stock-take, not after.

Barcode / QR scanning

Scan barcodes or QR codes into the system with a phone camera or a cheap scanner instead of writing slips. Wrong or duplicate scans are flagged on the spot, so fewer keying errors.

Electronic dispatch

A dispatcher assigns each job to a specific driver from the back office — driver, route and order details set in one pass. Changes and added stops sync to the driver's phone instantly, no more calling each one.

Mobile driver view

Drivers log in through a phone browser to WordPress and see the day's route and every order detail — nothing to install, and it works on a spare or borrowed phone just as well.

e-POD sign-off

On delivery the recipient signs on the driver's phone or tablet, and the record uploads to the back office with a timestamp. Which order, who signed, at what time — one lookup, and no more 'was it delivered?' disputes.

Fleet / asset management

Track each truck's servicing intervals, licence expiry and the like, with reminders before they fall due — no more surprise fines for a lapsed licence or a missed service.

Delivery

From first conversation to live

Every stage ends with something you can look at. You approve it before the next one starts, so you are never wondering how far along it is.

  1. Map the warehouse flow and fleet

We start by seeing how you receive and ship goods, how stock is sorted and placed, how vehicles are assigned, how drivers hand over, and what paperwork you use. This usually turns up a gap or two nobody actually owns.

  2. Build the stock and dispatch back office

We set up stock records, driver accounts and the dispatch view inside your WordPress, with low-stock alerts and barcode/QR rules. This stage needs your product list and fleet details.

  3. Driver trial and e-POD test

We run one or two real routes for a week to test sign-off upload, timestamps and what happens with no signal, fixing each rough edge before a full rollout.

  4. Full rollout and first-month tuning

Once the whole fleet and warehouse are live we review the real data weekly and fix what needs fixing, and hand over recorded training and written docs so your team can add drivers and products themselves.

FAQ

What people ask before we quote

This is a lightweight system designed for small and mid-sized warehouses and fleets — the point is fast go-live, easy upkeep and a controllable cost, not a six-figure enterprise WMS. Your data lives on your own server or cloud account, opened in your company's name. If your volume runs to thousands of movements a day, or you need multi-warehouse live sync and enterprise-grade permissions, we'll tell you plainly that this isn't the right fit and point you to a better approach — no hard sell.

No app. Drivers just log in through a phone browser — Android or iPhone, a new phone, a spare or a borrowed one all work. No per-device install or updates to manage.

Each e-POD records the signature, a sign-off timestamp and the recipient details — harder to alter and easier to retrieve than a paper slip as proof of delivery. If there's no signal at the moment of delivery, the signature is held on the phone and uploads automatically once a connection returns, so nothing is lost.

The simplest option is the driver's or storekeeper's own phone camera — no extra hardware. For high volume you can add an inexpensive Bluetooth scanner, and we'll suggest a suitable model.

Yes — that's custom scope. A common setup pushes data to your accounting system, Google Sheets or order platform automatically after outbound or sign-off, cutting double entry. Which system and how deep the integration goes is spelled out in the written quote after the free consult.
